How to respond to negative Google reviews: examples for real situations

Write a useful reply to a bad review: examples for delays, disappointing results and visits you cannot identify, plus a simple follow-up routine.

A one-star review can make you want to explain everything at once. Before you do, decide what your reply needs to achieve: acknowledge the experience, clarify what you can check and offer a sensible next step.

The examples below are fictional drafts to adapt, not customer stories. Replace the placeholders, remove any promise you cannot keep and write as the person who will actually handle the issue.

Check the facts before choosing your words

Read the review twice. Separate what the customer experienced from what you still need to establish. If they mention a long wait, check the appointment record and speak to the person who was there. You can acknowledge frustration while you investigate the cause.

Choose one person to own the response. A draft passed between three colleagues can become a defence of the business with no practical help for the customer. Keep your working notes separate from the public reply.

  • What happened, according to the customer?
  • What have we actually confirmed?
  • Who can help, and through which contact channel?

When the complaint is about a long wait

Name the problem instead of opening with a generic apology. If you have confirmed that you ran late, say so. Do not claim you have changed the booking system unless that work is complete.

In this example, the business has checked the delay. The next step gives the customer a route to someone who can review the visit, without asking them to post booking details publicly.

Example to adapt

Hi [name], I'm sorry we kept you waiting after your appointment time. We checked the schedule and did run behind that afternoon. Please contact [person] at [business contact] so we can discuss your visit and what we can do from here. Thank you for raising it.

When the result did not meet expectations

A disappointing result needs a conversation about the work, not a debate over the customer's standards. Offer an assessment if that is something your business can provide. Avoid promising a refund or a replacement before you know whether it is appropriate.

Keep the invitation specific enough to act on. ‘Contact us’ is less helpful than naming the person or team who will pick it up.

Example to adapt

Hi [name], I'm sorry the result wasn't what you expected. I'd like to understand which part you're unhappy with and review it with you. Please reach [person/team] at [business contact], mentioning your visit privately, so we can discuss the available options.

When you cannot identify the visit

An unfamiliar display name is not proof that a review is invented. Someone may have booked under another name or visited with a friend. Leave room for that possibility and ask for enough information privately to investigate.

Google allows you to report reviews that may breach its content policies. Use that process when you have a specific reason; keep your public reply focused on what you can verify.

Example to adapt

Hi [name], we haven't been able to identify this visit from the information here. Could you contact [business contact] with the approximate date and the service you used? We'd like to check what happened and respond properly.

Where to publish the reply

In a verified Google Business Profile, open Read reviews, choose Reply beside the review and submit your response. Replies are public and Google reviews them before publication; the official instructions are linked below.

Read your draft aloud first. Remove sarcasm, details about other customers and sentences written mainly to win an argument. Include only a next step that someone in your business is ready to handle.

Turn the complaint into a small, trackable action

Make a note of the issue, its owner and the next check-in. For repeated delays, that might mean reviewing the gap between appointments. For unclear prices, check what customers see before they book. A response is useful; fixing a recurring source of frustration is better.

If you resolve the issue, do not make the solution depend on deleting the review. Keep inviting honest feedback from future customers, and use one clear question to understand whether the problem is still happening.

Put it into practice

Draft a reply to one unresolved review. Confirm the facts, offer a concrete contact route and assign the follow-up. Use the examples as a starting point, then make the wording fit the actual experience.
